How to Use AI to Respond to Google Reviews for Your Dubai Business

Every Google review your Dubai salon or restaurant receives deserves a response. AI tools can generate personalised, on-brand replies in seconds — here's the exact workflow, prompts, and rules to do it without sounding like a robot.

Why review responses matter as much as the reviews themselves

When a Dubai resident searches for a salon or restaurant on Google Maps, they read the reviews. But many also scroll to see how the business responded.

An unresponded negative review signals: nobody's home, they don't care.

A well-handled negative review signals: this business takes quality seriously and fixes problems.

In a city with thousands of competing salons and restaurants, that difference in signal converts into real booking decisions. Responding to reviews is not optional admin — it's active marketing.

The problem: most business owners don't have time to write 20–30 thoughtful review responses per week. This is exactly the kind of repetitive, text-based task that AI handles well.

The baseline setup: Google notifications + a daily habit

Before AI can help, you need to see reviews when they arrive.

Enable Google review notifications:

  1. Go to business.google.com
  2. Settings → Notifications
  3. Turn on "New reviews" notifications (email)

You'll receive an email every time a new review is posted. Check these once per day — morning works well before the day gets busy.

Set a 10-minute daily block for review responses. That's all it takes with AI assistance: 10 minutes per day responds to 5–10 reviews thoroughly.

The ChatGPT workflow for review responses

Setup: give ChatGPT your business context once

Start a ChatGPT conversation with this context block. You only need to do this once per session — for a daily habit, save this as a pinned note on your phone:

You are helping me respond to Google reviews for [Business Name], a [salon/restaurant]
in [Dubai area].

Our tone: [warm and professional / casual and friendly / premium and composed]
Our brand voice: [describe in 1-2 sentences — e.g. "We're a luxury salon but we're
friendly and personal, not stuffy."]
Our WhatsApp contact: [number]
Owner's name (for signing negative review responses): [name]

Rules for your responses:
- Always personalise by referencing something specific in the review
- Keep responses under 60 words (shorter is better for Google)
- Never argue, even if the review is unfair
- For negative reviews, always invite offline resolution via WhatsApp
- Don't use the phrase "valued customer" — it sounds generic
- Don't use excessive emojis — maximum one per response

Understood?

Now paste any review and say "Write a response to this review" — and ChatGPT will follow your rules automatically for the rest of the session.

Prompt templates by review type

5-star review with specific praise

The review: "Amazing experience at Halo Beauty! Sarah did my balayage and it's exactly what I wanted. The colour is so natural and the salon has a lovely atmosphere. Will definitely be back!"

Your prompt:

Write a Google response to this 5-star review. Reference the stylist name (Sarah)
and the service (balayage). Warm tone. Under 50 words.

ChatGPT output (edit as needed):

"Thank you so much! We'll pass your kind words on to Sarah — she'll love hearing this. Natural balayage is our favourite to get right, so we're thrilled it's exactly what you wanted. See you again soon! 💛"

Time: 45 seconds.

5-star review with no specifics

The review: "Great salon! Loved it."

Your prompt:

Write a warm Google response to this short 5-star review.
No specific details to reference — keep it genuine and brief.

ChatGPT output:

"Thank you! Short and sweet — just the way we like our clients to feel after a visit 😊 Looking forward to having you back at [Salon Name]."

4-star review with mild criticism

The review: "Really nice salon and my hair came out great. Only gave 4 stars because the wait was a bit long — we were there for nearly 3 hours for a colour. Would go back though."

Your prompt:

Write a Google response to this 4-star review. Acknowledge the wait time issue
genuinely (don't dismiss it), thank them for the positive feedback about the colour,
and invite them back. Under 60 words.

ChatGPT output:

"Thank you! We're so glad you loved the colour result — and we hear you on the timing. Colour services can run long, and we're always working to manage this better. We'd love to make your next visit smoother. Come back and see us soon — and thanks for the chance to improve!"

1-star review (unhappy client)

The review: "Terrible experience. I asked for a trim and they cut off 4 inches. I'm devastated. Never going back."

Your prompt:

Write a professional, empathetic Google response to this 1-star review.
Do not argue. Acknowledge the client's distress. Invite them to contact us
on WhatsApp to resolve this. Sign off with the owner's name. Under 60 words.

ChatGPT output:

"We are so sorry to hear this — we understand how upsetting this must be, and we take it very seriously. This is not the experience we want for any client. Please WhatsApp us at [number] so we can speak with you directly and make this right. — [Owner name]"

Unfair or fake-seeming review

The review: "Worst salon ever. Staff were rude and the place was dirty." (Posted by someone with no other reviews and no visit in your booking system)

Your prompt:

Write a professional Google response to a review that seems unfair or potentially
inaccurate — the business has no record of this client. Do not accuse them of being
fake. Be professional and invite them to contact us so we can investigate. Under 50 words.

ChatGPT output:

"Thank you for taking the time to share this. We take cleanliness and team conduct very seriously, and we'd genuinely like to understand what happened. We don't have a record matching this visit — please WhatsApp us at [number] so we can look into this directly. — [Owner name]"

Note: You can report suspicious reviews to Google via the flag icon — but always respond first, professionally. Flagging without responding looks defensive.

Arabic-language review

For reviews written in Arabic, add to your prompt:

The review is in Arabic. Write the response in Arabic (Gulf dialect, not formal MSA).
Then provide the English translation below for my reference.

Always have a native Gulf Arabic speaker verify the response before posting if Arabic is not your first language.

The weekly batching method

Rather than responding to each review the moment it arrives, many owners find a twice-weekly batch more efficient:

Monday morning: Open Google Business, copy all reviews from the past 3–4 days into ChatGPT. Run the prompts. Edit. Post all responses in one session. 20–25 minutes.

Thursday morning: Repeat for the second half of the week.

This works for businesses receiving under 10 reviews per week. If you're getting more, daily monitoring is better — especially to catch negative reviews quickly.

Scaling with dedicated review management tools

For restaurants and salons generating 30+ reviews per week, ChatGPT-per-review becomes slow. Dedicated tools exist that read your reviews, generate responses using AI, and let you approve and post them with one click:

  • Birdeye — review management platform with AI response generation, multi-location support. Used by some Dubai clinic and restaurant groups.
  • Podium — combines review management with text messaging and payment collection. Strong in UAE market for service businesses.
  • Grade.us — focused on review generation and response management, simpler and cheaper than Birdeye.

These platforms cost USD 200–500/month for multi-location businesses — the maths works when manual management would require a part-time hire.

For single-location salons and restaurants, ChatGPT + a daily 10-minute check is the right approach. Free, fast, effective.

The compound effect

A Dubai restaurant or salon responding to every Google review within 24 hours, consistently, for 6 months:

  • Signals to Google: active, managed business → modest ranking boost in Maps local pack
  • Signals to potential customers: accountable, responsive business → higher conversion from profile view to booking
  • Signals to unhappy customers: someone is listening → higher chance of recovery, lower chance of escalation

Most competitors are not doing this. The bar for standing out on Google reviews in Dubai is surprisingly low — because most businesses ignore it.

Ten minutes per day, an AI tool, and a consistent process. That is the entire system.
